Promoter and Booking Agent Terms and Conditions
Welcome to the Terms and Conditions ("Terms") webpage of Empress Rooms Limited ("ERL"), a company that sells event ballroom services and tickets via e-commerce on its website. The Artiste, Agent or Promoter (“AAP”) the event booking for the ballroom show.
Please read these Terms carefully before using our services. By accessing or using our website, you agree to be bound by these Terms. If you do not agree with any part of these Terms, you must not use our website or services.
Booking Terms
· The Booking Issued date must be agreed upon and not adjusted without the approval of ERL.
· The ERL venue address is located at Empress Buildings, 2 Swinton Road, Mexborough, Doncaster S64 9JB.
· The Artiste Arrival time is a minimum of 2 hours before the venue door opens, which is typically between 6 pm to 7 pm, depending on the event. However, this time can be arranged sooner if the stage show requires a longer setup and sound check.
· An encore performance is a requirement for all stage shows.
· If the AAP's arrival is late and it upsets the itinerary, ERL reserves the right to enforce a penalty fee upon AAP.
· Stage show concerts are set for two 45-minute spots, with the first spot at 8 pm and the second spot at 10 pm. ERL reserves the right to adjust these timings before or on the event night if required.
· If the AAP has booked the room, it does not include the bar platform standing and seating area, directors' box, and VIP guests are allowed to use these areas without the consent of AAP.
PAYMENT TERMS
· If applicable, the AAP must provide bank transfer information before the event date, and invoices are required before payment is made after the event, not on the night.
Guest Arrival Time
· Ticket buying guests will arrive between 6 pm and 7 pm, depending on the event settings. This is for the reception, arrival drinks, and to be seated at a table.
· During the interval after the first set is complete, the AAP artiste must announce that they will be available for a photo opportunity with the ticket buying guests.
Additional Booking Terms
· ERL agrees to provide suitable and adequate dressing room facilities for the AAP.
· ERL agrees to provide a fully operational PA system upon request at a cost of £130. This cost is either deducted from the ticket revenue or paid by the AAP, unless agreed otherwise.
· ERL does not provide microphones for artistes or musicians.
· ERL agrees to provide a fully operational stage lighting system.
· If the AAP requires the theatre-style seating arrangement of 300, this carries a £200 seating arrangement fee, as all the tables will need to be taken out of the building and put into storage and then returned the following day.
· ERL may operate raffles during any event to raise funds for its chosen children's charity DVPDC, without any consent required from AAP
· If ticket sales are low within 14 days of the event date, ERL reserves the right to reduce ticket prices and offer complimentary tickets to fill the ballroom. This is to ensure that the running cost of the business is not affected.
· In the event of any member of the stage show being unable to perform due to illness, AAP will notify ERL accordingly at the earliest opportunity. If required, a Medical Certificate will be forwarded to ERL.
· ERL shall have the right, at its sole discretion, to cancel this agreement, and no fees or expenses shall be payable to AAP in the event of such cancellation. ERL shall be free to conclude any alternative agreement or engagement with any other persons for the dates and times mentioned in this agreement.
· AAP will be responsible for any losses in revenue to ERL if a breach of the terms is the cause.
Contingency Plan
· AAP will provide a replacement related or similar stage show in the event they are unable to fulfil the engagement.
· ERL reserve the right to amend these terms at any time.
